Locally employed administrative officer, who will also serve as the Ambassador’s assistant

The Royal Norwegian Embassy in Ottawa is looking to recruit a successor to our Administrative Officer/Ambassador’s Assistant, who will be leaving us in December.

We are looking for a person with excellent interpersonal, communication and administrative skills to perform general office management and provide administrative support to the ambassador and other diplomats. Tasks will include scheduling of meetings and events, coordinating high-level visits and conferences, arranging travel, managing documents, and handling official correspondence with Canadian authorities. Responsibilities also include management of the official residence and its staff. The candidate will work closely with the ambassador and other members of the 10-person embassy staff, and contribute to a high level of professionalism and quality in the Embassy’s daily operations. The responsibilities may occasionally require working outside normal working hours.

We are looking for a person with university education (BA or higher) who is efficient, systematic, self-driven and has excellent written and verbal communication skills in English. Proficiency in French and knowledge of a Scandinavian language would be an advantage. The successful candidate should have a demonstrated ability to multi-task, be solution-oriented, and work as a part of a team. A solid knowledge of office computer software is necessary. A thorough knowledge of federal and provincial government structures would be an advantage.

The position is open to Canadian citizens, permanent residents, or individuals with a work visa in Canada.
