Vacant position: Administrative Officer (Political and Consular Affairs)

The Royal Norwegian Embassy in Vilnius is seeking to recruit an Administrative Officer (Political and Consular Affairs). We are seeking a trustworthy, well-organised and service-minded professional who will contribute to the Embassy’s daily operations, including consular and citizen services, and provide input and support on political and societal matters. The position involves close cooperation with Embassy staff and requires a high level of professionalism.

The Royal Norwegian Embassy in Vilnius represents Norway’s interests in Lithuania and Belarus.  The Embassy is engaged in a wide range of activities, including political and economic cooperation, cultural exchange, and consular services. We also follow up projects funded by the EEA and Norway Grants. The Embassy has 11 employees including three diplomats from Norway and eight locally recruited staff members. 

To support the Embassy’s daily operations, we are now seeking a reliable, service-minded and well-organized Administrative Officer to join our administrative team.

Duties and Responsibilities:

  • Provide general support to the Embassy’s administrative and consular operations, including first-line reception and handling of public enquiries.
  • Have responsibility for consular and citizen services, primarily assistance to Norwegian nationals.
  • Assist with research and analysis in support of the Embassy’s political reporting and engagement.
  • Maintain contacts with relevant public institutions and stakeholders, as appropriate.
  • Support the preparation and follow up of briefings, reports, meetings, and visits.
  • Provide practical and logistical support for official visits, travel, meetings, and events.
  • Assist with the embassy’s grant management, including coordinating calls for interest and process applications.
  • Ad hoc tasks and assistance as required.
  • The responsibilities of this position may be adjusted, and additional duties assigned, by the Head of Mission in line with the Embassy’s operational requirements.

Required qualifications:

  • Bachelor’s degree or equivalent relevant professional experience.
  • Strong digital competence and confidence in using digital tools and systems.
  • Fluent spoken and written Lithuanian and English (C1 level or equivalent).
  • Excellent command of Norwegian or another Scandinavian language.
  • Clean criminal record.

Desirable qualifications:

  • Work experience from relevant public institutions or agencies.
  • Work experience from non—governmental organisations.
  • Experience in external communications / use of social media in a professional context.
  • Knowledge of Russian is considered an asset.

The Royal Norwegian Embassy in Vilnius offers:

  • Competitive salary and benefits package, including 25 days of annual leave, with membership in Södra as part of employment terms.
  • Working hours is 37,5 hours per week, Monday to Friday. Occasional evening and weekend work may be required due to Embassy activities. Extra hours will be compensated in accordance with Lithuanian law.
