Executive Assistant, full-time, permanent position

The Royal Norwegian Embassy in Canberra represents Norway in Australia, the Cook Islands, Fiji, Kiribati, Naoero, New Zealand, Papua New Guinea, the Solomon Islands, Tonga, Tuvalu, Samoa, and Vanuatu. The Embassy has vacancy for a 100% position as Executive Assistant (EA).

Job Objective/Main Tasks:

We are seeking a detail-oriented and proactive individual to join our team as an Executive Assistant and assistant to the Ambassador. In this role, you will be responsible for a variety of tasks related to executive support for the Head of Mission, project and event management for the Embassy, and liaising with relevant stakeholders. Your key responsibilities will include:

  • Supporting the Ambassador in the effective and strategic management of the Embassy;
  • Managing the Ambassador’s calendar and travel arrangements:
  • Being the principal point of contact for the Ambassador;
  • Managing relationships with relevant government and non-government stakeholders;
  • Preparing briefs, reports, and presentations for all official visits and meetings;
  • Participating in the Embassy’s emergency preparedness team.
  • Assisting with administrative tasks as required.

The Head of Mission may adjust the portfolio in accordance with the Embassy’s’ needs and the candidate’s qualifications.

Requirements:

  • Australian citizenship or a valid work permit in Australia.
  • Physical attendance at the workplace.
  • Higher education (may be compensated by relevant work experience).
  • Strong attention to detail and the ability to switch between tasks at different stages to respond to competing demands under time pressure.
  • Proficiency in IT-based and technical work processes, including experience with Microsoft Office products.
  • Ability to work independently, while also being a motivated team player.
  • Good communication skills, both written and verbal. Fluency in English is essential; knowledge of Norwegian is an advantage.
  • Previous experience in a similar role will be considered an advantage.
