VACANT TEMPORARY POSITION AS PERSONAL ASSISTANT TO THE AMBASSADOR AT THE ROYAL NORWEGIAN EMBASSY IN ROME

The Norwegian Embassy in Rome is looking for an experienced candidate for the position as personal assistant to the Ambassador on a temporary basis for one year. Commencement date subject to further agreement.

Main duties and responsibilities

  • Manage the Ambassador's schedule and make arrangements for official functions, visits and events, in collaboration with embassy and residence staff
  • Coordinating function for the residence staff and embassy driver
  • Liaise with relevant authorities and organisations
  • General office administration
  • Main duties may be subject to revision at the Head of Mission’s discretion

Required competencies

The candidates should have the following competencies:

  • Experienced with office management and administrative work, preferably as a personal assistant
  • Good understanding of Italian governmental institutions and local conditions
  • Excellent command of English and Italian, spoken and written, familiarity with a Scandinavian language is positive but not required
  • Higher education minimum three years. Relevant experience from similar position may come in lieu of the higher education requirement
  • Good IT skills

  • Excellent interpersonal skills and good verbal communication
  • Accuracy and an eye for detail
  • The ability to be proactive, multi-task and take initiatives independently. Sense of responsibility – have an eye for what must be done and carry it out
  • The ability to work as part of a team
  • Ability to maintain a high level of confidentiality regarding work-related information
  • Flexible to work extra hours, weekends and other holidays when necessary

Note

  • All applicants must be legally eligible to work in Italy
  • Staff members recruited locally by the Norwegian Embassy are subjected to terms and conditions of Service according to Italian law

The Embassy can offer

  • Contract duration: 1-year contract with possible extension
  • Full time position. Working hours: 36 hours per week. Sometimes outside normal office hours
  • Salary to be agreed
  • 26 days of holiday entitlement per year
